Mission

The Institutional Data Summit serves as an outlet to celebrate and build upon the University of Arizona's unique data culture. By creating a space to discuss institutional data with colleagues we hope that employees walk away feeling empowered to leverage institutional data tools, UAIR services, and newfound connections they made to help tell the Arizona story.  

Overview

Use data as your compass at the 2025 Institutional Data Summit! During this day of connection and collaboration, explore the University of Arizona through institutional data. As we chart our course through a rapidly evolving higher education and U of A landscape, we hope the Institutional Data Summit—and the data insights provided by our growing data community—can serve as a guide in helping you tell your unit’s story.   

This year, we have five distinct tracks and 19 total breakout sessions, offering a program-packed day of data and analytics!

  1. Smooth SailingThese sessions examine opportunities for making your day-to-day easier through institutional data tools and dashboards.

  2. Tales of Student SuccessThese sessions will cover case studies, walkthroughs, and demos from university personnel creating their own data tools and leveraging institutional data resources to support student success. 

  3. Diving Into Administrative Data These sessions dive into the depths of the workforce, financial, and research data that keeps our institution afloat.

  4. Trailblazers These sessions delve into projects that map the course for the future of institutional data at the U of A and showcase innovative processes, workflows, and strategic uses of institutional data.

This year’s Institutional Data Summit is primed to serve as a landmark data literacy event at the U of A. Attendees will have the opportunity to explore institutional data at its most basic inception, hear tales of success through case studies and demos, dive deep into projects that present unique approaches to institutional challenges, and learn from the university’s most intrepid trailblazers and their innovative data processes.  

Join us for a day of exploration and navigation, and chart your course through the University of Arizona’s institutional landscape.

Dr. Ricardo Valerdi | Department Head, Systems and Industrial Engineering & Professor of Systems and Industrial Engineering


Ricardo Valerdi is a Professor and Head of the Department of Systems & Industrial Engineering at the University of Arizona. He is also the UA’s Faculty Athletics Representative to the Big 12 Conference. His research focuses on cost estimation, sports analytics, and decision making. His research has been funded by the National Science Foundation, Army, Navy, Air Force, BAE Systems, Lockheed Martin, Raytheon, the Arizona Diamondbacks, and the National Collegiate Athletic Association. He is the founder of Science of Sport, a non-profit dedicated to STEM education through sports. He has developed STEM education programs for NFL, MLB, NBA, and MLS teams. He received a Ph.D. in Industrial & Systems Engineering from the University of Southern California.

This collaborative effort brought together diverse expertise in data analytics, IT infrastructure, and user expectations, resulting in a powerful tool for email performance evaluation. The presentation will walk attendees through the process of building the tool, as well as learning how to derive meaning from the metrics it provides.

The reenrollment intercept is a targeted survey to capture enrollment plans through a WebAuth intercept message. After the priority registration window closes, students who meet population criteria and are not enrolled for the next major term will receive a targeted message as they authenticate into university applications. The message alerts the student they are not enrolled and invites them to let us know their plans through the optional survey. The survey is set to automatically create a Trellis Service Desk ticket for SOS if a student indicates that they would like to talk to someone about their responses. SOS connects with the student and refers the case to the appropriate department to support reenrollment efforts. Survey results are also shared as an Analytics dashboard so that advisors and other support staff can prioritize outreach efforts and identify barriers to reenrollment for their student population. Come learn how this strategic nudge was created out of an Arizona Innovation Alliance collaboration and how SSRI, UITS, and UAIR work together to create this outreach opportunity every semester for students.

Environmental Sciences and UAIR have collaborated to develop a process and tool that have streamlined this task for Environmental Sciences. They now aim to share this process and tool with other campus users, hoping to inspire the creation of similar solutions.

Automating Data Analytics and Integrating with Gen AI

This app is an AI-powered data analytics tool that automates data visualization and analysis. Users can upload datasets, filter data by categories, and instantly generate multiple visualizations with the help of OpenAI's language model. The visualizations are converted into images, which are then analyzed by the AI for deeper insights, providing descriptive context and highlighting trends within the data. This app streamlines exploratory data analysis (EDA) and enhances data interpretation, making complex analytics accessible and actionable.

Using Local Data with UAccess Analytics Visualizer

Currently UAccess Analytics does not support the direct upload of external data sources such as Excel reports. This makes the process of merging external data sets with existing reports within Analytics a manual and time-consuming task. However, by using Oracle Visualizer as a tool, it is now possible to both incorporate external data sources as well as create visuals for these data sets. Our presentation will demonstrate the process of achieving this within Oracle Visualizer and then adding the results to your Department or College dashboards.

Connecting the Dots for the Academic Advising Community: Effective Focus Groups, User Experience Testing, and Dashboard Design for Enhanced Decision Making

In partnership with the Advising Resource Center, this session will explore how the Undergraduate Advising Central dashboard was developed by UAIR through the strategic use of effective focus groups and user experience testing. This new dashboard serves as a starting point for the advising community to access valuable insights about diverse student populations, helping to inform decision-making and student support. This session will dive into the principles of conducting successful focus groups and user testing, showing how these methods can be used to refine dashboard design and ensure it aligns with user needs. By incorporating direct feedback, ARC and UAIR hope to enhance the dashboard’s effectiveness for empowering the advising community with the confidence to interpret institutional data and apply it for better student outcomes.

Over the past decade, no segment has driven more innovation and change in higher education than online learning. This evolution introduced new data and information needs unimaginable 30 years ago when modern higher education established its standard data collection and reporting practices. Since its launch in 2015, The University of Arizona Online has rapidly expanded, becoming the second-largest campus at the University of Arizona and accounting for 17% of the university's total enrollment. In this presentation, University Analytics and Institutional Research and Arizona Online will come together to provide a high-level overview of how we've adapted to the data needs of online institutions to enhance strategy, decision-making, and student support. Together, we aim to illustrate how the partnerships between back-end data experts and front-end stakeholders can meet the dynamic data needs of online universities.

Mónica De Soto Vega collaborations with multiple colleges and campuses over the last 37 years has given us deep knowledge of institutional memory that helps to contextualize what the data from Analytics means. Anuj Gupta and Gaby Samaniego are graduate students whose sharp data analytics skills in R and Python help us clean, merge, and analyze the data to make projections. Ryan Winet's expertise in visual communication and Canva helps us communicate those insights to stakeholders across campus with varying degrees of data literacy. Through this session, we hope to inspire you to step out of your comfort zone and see an example of how your team could leverage the university's data capabilities to improve your workflows.

Best Practices for Building User-Centered Dashboards

This session will cover universal design principles to consider when building a dashboard and the tools that UAIR has available to facilitate the application of these principles including the UAIR dashboard design template. Adopting a user-centered approach can help users reach insights and get the data that they need more efficiently. Through this session, participants will gain an understanding of how to create a simple dashboard in their personal UAccess Analytics folder and how to apply layouts, color, and headings. This session is open to all levels of UAccess Analytics proficiency but especially for beginners who might not be as familiar with the tools that UAIR has available to that might help them organize their own personal analytics folder or improve their dashboards.

A Data-Informed Approach to International Student Scholarships at University of Arizona

In 2024 UAIR and AZI partnered together to develop a competitive scholarship program for international students using student success data and GDP per capita of the country. The research led to AZI creating a Service Leadership Award. This scholarship award provided access to high achieving, academically talented, high school student leaders to pursue their education at the U of A and serve as university's ambassadors to their respective communities and high schools by recruiting more students to the University of Arizona. This session will discuss the data analysis and development of the scholarship using institutional data to further academic excellence and international student enrollment.

This presentation introduces UAIR's initiative to build out an AWS S3 data lake, highlighting its transformative potential for enterprise data management. Attendees will learn how Amazon S3 serves as the foundation for a centralized data repository, AWS Glue simplifies data transformation and cataloging, and AWS Athena provides serverless querying capabilities for actionable insights. The presentation focuses on two key use cases: integrating Salesforce data through automated workflows, and archiving historical warehouse tables to reduce storage costs while maintaining accessibility. By showcasing the benefits of a data lake, including enhanced scalability, streamlined ETL/ELT processes, and significant cost savings, this session aims to demonstrate how UAIR is leveraging AWS technologies to modernize data operations and empower end-users with efficient data access.

Objective: 

We are calling on all 2025 Institutional Data Summit registrants to help us design the next cutting-edge institutional data tool for the university. Whether it’s answering an important question, enhancing existing tools, or streamlining administrative tasks, we want your ideas and innovations. This is your chance to create a tool that will benefit the entire university community!

Overview: 

The Institutional Data Innovation Challenge invites teams or individuals to submit innovative solutions that leverage institutional data to improve campus life. The challenge aims to identify new ideas and concepts that can be turned into data tools in UAccess Analytics that can support faculty, and staff in their prospective areas of responsibility. 

How It Works: 
  1. Team Formation: You can participate individually or form teams of 2-5 members. Teams may consist of staff and faculty from any department.
  2. Idea Submission: You or your team will submit proposals with a clear vision of their idea, including the following: 
    1. How it will benefit the campus community
    2. Type of data it will leverage (for example, student, financials, human resources, sponsored research, etc.)
    3. Visual draft of your concept (any medium is welcome)
    4. Any additional details that might be used to bring it to life
  3. Voting: Attendees of this year's Institutional Data Summit will have the chance to vote for which proposal they believe to be the most beneficial! Voting will take place in-person on the day of the summit, so our event attendees can collectively decide which new ideas and concepts will be turned into U of A's next data tool in UAccess Analytics. 
Prize:
  • The Challenge Winner(s) have  the opportunity to make their idea a reality! The winning idea will help inspire a brand new tool in UAccess Analytics, and the winner(s) will work directly with UAIR to develop their tool.

Frequently Asked Questions

Yes. The Institutional Data Summit is a University of Arizona event, hosted by university employees, for university employees and is free for all U of A employees. 

Any and all U of A employees are welcome to attend the Institutional Data Summit. Our hope is that this event serves as a learning experience for members of the university workforce, as well as a great professional development opportunity for data enthusiasts on campus. 

You can join us at the Student Union Memorial Center, Main Ballroom for this year's 2025 Institutional Data Summit. The Student Union is at 1303 E. University Blvd and details about the building and surrounding area are on this campus map

The closest parking to the Student Union is the 2nd St. Garage, 1390 E. 2nd St. Both the Tyndall Avenue and Cherry Avenue Garages are about a 10-minute walk from the Student Union. Parking will not be validated. 

No. Registration will be closing prior to March 6th, 2025—the day of the Summit. Day-of registration will not be an option so please make sure that you and your team are registered for this event in advance. 

Registration for the 2025 Institutional Data Summit will close the week prior to the event OR when we meet the event attendance limit; whichever comes first.

Yes! All session presentations will be recorded and made available post-event. Be sure to stay up-to-date with the Institutional Data Summit event page on the UAIR website in order to access recordings once the event is completed. 

Yes. The 2025 Institutional Data Summit will be a photographed event. The photographer will limit the amount of candid photos taken and focus their attention on event speakers and set-up. However, there is a chance that attendees will be photographed in the process.
